Security

Chemicals, users, and groups may have security levels assigned as needed by an organization.

User and Chemical Security

Each catalog entry and user are assigned a security level between 1 and 10. Users have access to catalog records with security levels equal to or less than the user’s security level. All chemicals and users default to a security level of 1 at system start-up.

Edit User Security Level

Security levels may be defined during the initial addition of a user to the system Add User. The steps below outline the process for editing the security level of an existing user.

  1. Log in with a user name and password that has been granted access to Modify Users and Groups.
  2. Choose the appropriate Module.
  3. Click Users/Groups from the menu on the left side of the home screen.
  4. Click the User Name to edit in the users/group tree.
  5. Choose the desired security level.
  6. Click Save.

Edit Catalog Record Security Level

The value from 1 to 10 assigned to a catalog record designates the user security level required to view the catalog record or any associated inventory records.

Security levels may be defined when a catalog record is created Catalog Add. The steps below outline the process for editing the security level of an existing catalog record.

  1. Log in with a user name and password that has been granted access to Modify Chemical Catalog.
  2. Choose the appropriate Module.
  3. Click Catalog from the menu on the left side of the home screen.
  4. Click Edit.
  5. Search for the specific catalog record. Catalog Search
  6. Choose the desired security level.
  7. Click Save.

Group Security

Group security levels limit the inventory records users can view or update to those records associated with their group or subgroup.

  • Group 1 Security, when enabled, allows module users to view and edit only inventory records associated with the user’s group.
  • Group 2 Security, when enabled, allows module users to view all inventory records but edit privileges are restricted to those records associated with their group.

Enable/Disable Group Security

  1. Log in with a user name and password that has been granted access to Modify System Settings.
  2. Choose the appropriate Module.
  3. Click Settings on the menu on the left side of the screen under the Setup heading.
  4. Click the check box next to Enable Group Security 1 or Enable Group Security 2.
    • A check mark in the box indicates group security is enabled. Removing the check box will disable group security.
  5. Click Save.

Group Security Override

If group security is activated the security protocol may be overridden by an administrator to allow a user to view and edit all inventory records.

  1. Log in with a user name and password that has been granted Administrative rights.
  2. Choose the appropriate Module.
  3. Click Users/Groups on the menu on the left side of the screen under the Setup heading.
  4. Click the User Name to edit in the users/group tree.
  5. Click the Roles tab.
  6. Click the checkbox(es) to override group security protocols. The number of available check boxes reflects the level of group security that is active
    • One checkbox: group security 2 enabled.
    • Two checkboxes: group security 1 enabled.
  7. Click Save.
