Dynamic Fields

Searchable values, not currently available, may be added utilizing the dynamic fields function.  Dynamic fields may be added to inventory, catalog and master records. Dynamic field values may be searched using the query tool within view/update and catalog edit screens.

Add Dynamic Field-Text

  1. Log in with a user name and password that has been granted access to Modify System Settings.
  2. Choose the appropriate Module.
  3. Click Settings on the menu on the left side of the home screen.
  4. Click the Custom Labels tab.
  5. Click the Plus icon next to Add new dynamic field at the top of the dynamic field grid.
  1. Choose Text.
  1. Choose the Field Context.
    • Inventory:  This value is included when adding an item to the inventory.  It may be searched using the query tool from the view/update screen.
    • Catalog:  This value can be added from the create new catalog and edit catalog screens.  It may be searched using the query tool from the view/update and catalog edit screens.
    • Master:  This value can be added from the create new catalog and edit catalog screens.  It may be searched using the query tool from the view/update and catalog edit screens.
  1. Enter a Label.
    • The label value is the description of the field that appears on the screen.
  2. Enter a Tooltip. (optional)
    • Hovering over the field will cause the tooltip to appear on screen.
  3. Enter a Default Value. (optional)
    • The default value will prepopulate the field.
  4. Designate if the field is Optional, Required or Disabled by clicking the appropriate checkbox.
    • Required: field must be filled before saving.
    • Disabled: field is visible but data entry is not permitted.
    • Optional: leave both check boxes unchecked, field is live but data is not required for save.
  5. Click Save.

Add Dynamic Field-Date

  1. Log in with a user name and password that has been granted access to Modify System Settings.
  2. Choose the appropriate Module.
  3. Click Settings on the menu on the left side of the home screen.
  4. Click the Custom Labels tab.
  5. Click the Plus icon next to Add new dynamic field at the top of the dynamic field grid.
  1. Choose Date.
  1. Choose the Field Context.

    • Catalog:  This value can be added from the create new catalog and edit catalog screens.  It may be searched using the query tool from the view/update and catalog edit screens.
    • Master:  This value can be added from the create new catalog and edit catalog screens.  It may be searched using the query tool from the view/update and catalog edit screens.
  1. Enter a Label.

Add Dynamic Field-Checkbox

  1. Choose the Field Context.

    • Catalog:  This value can be added from the create new catalog and edit catalog screens.  It may be searched using the query tool from the view/update and catalog edit screens.

Add Dynamic Field-Dropdown

  1. Log in with a user name and password that has been granted access to Modify System Settings.
  2. Choose the appropriate Module.
  3. Click Settings on the menu on the left side of the home screen.
  4. Click the Custom Labels tab.
  5. Click the Plus icon next to Add new dynamic field at the top of the dynamic field grid.
  1. Choose Dropdown.
  1. Choose the Field Context.
    • Inventory:  This value is included when adding an item to the inventory.  It may be searched using the query tool from the view/update screen.
    • Catalog:  This value can be added from the create new catalog and edit catalog screens.  It may be searched using the query tool from the view/update and catalog edit screens.
    • Master:  This value can be added from the create new catalog and edit catalog screens.  It may be searched using the query tool from the view/update and catalog edit screens.
  1. Enter a Label.

  2. Enter a Tooltip. (optional)
    • Hovering over the field will cause the tooltip to appear on screen.
  3. Enter Lookup Value(s).
    • Lookup values will populate the dropdown list.
    • Click Add after each entry to populate the list.
  4. Designate if the field is Optional, Required or Disabled by clicking the appropriate checkbox.
    • Required: field must be filled before saving.
    • Disabled: field is visible but data entry is not permitted.
    • Optional: leave both check boxes unchecked, field is live but data is not required for save.
  1. A Default Value may be designated within the table by clicking the radio button next to the desired value. The selected value will prepopulate the field.
    • OR
  2. For NO prepopulated value, click the radio button next to No default value.
  3. Click Save.

Edit Dynamic Field

  1. Log in with a user name and password that has been granted access to Modify System Settings.
  2. Choose the appropriate Module.
  3. Click Settings on the menu on the left side of the home screen.
  4. Click the Custom Labels tab.
  5. In the Dynamic Fields grid, search by entering a value into the text box, filter or scroll to the field to be edited.
  6. Click the Pencil icon.
  1. Modify the the data to reflect desired values in the pop-up window.
  2. Click Save.

Delete Dynamic Field

  1. Log in with a user name and password that has been granted access to Modify System Settings.
  2. Choose the appropriate Module.
  3. Click Settings on the menu on the left side of the home screen.
  4. Click the Custom Labels tab.
  5. In the Dynamic Fields grid, search by entering a value into the text box, filter or scroll to the field to be deleted.
  6. Click the Recycle Bin icon.
  7. Confirm deletion in the pop-up window.
