Add Inventory

Use the Add function to enter new inventory records. The minimum data required is a Tag number. Data fields may be customized to accommodate an organization’s needs. Custom Labels

Required elements are designated with an asterisk*. In the following tutorials, Tag number and Location are designated as required. 

Note: Clicking Clear will remove all data entered on Item Add, Notes and Dynamic Fields tabs.

Add Inventory-Catalog Search

  1. Log in with a user name and password that has been granted access to Add Inventory.
  2. Choose the appropriate Module.
  3. Click Add from the menu on the left side of the home screen.
  4. Search for the correct product using the Search function.  If known, enter the Catalog, Stock or CAS number for the most direct results.
    • A Catalog number will generally return the best results although it may return several records representing one or more sizes from one or more suppliers.
    • A Stock number will normally return only one record unless two vendors use the same catalog and size designator.
    • A CAS number will return all records that share the value.
    • A Chem Name may return multiple items.
  5. If the search returns the correct product, complete steps six through twelve. If the correct product is not available, it must be added to the catalog before proceeding. Catalog Add
  6. Choose the correct vendor and size from the pop-up window by clicking the Green Check Mark .  The Item Add screen will open.
  7. If desired, the catalog entry may be modified prior to proceeding with step eight. Catalog Edit
  8. Enter a Chem Tag #.  The tag number may be typed manually or, if autogenerate is enabled, the number will display when the Chem Tag # button is clicked.
  9. Choose Location.
    • Choose a Location by scrolling through the dropdown list and selecting the correct value.
    • Location results may be narrowed by typing all or part of the location name into the Location field.
    • Clicking the Location icon will open a pop-up window containing the location tree.  Navigate to the correct location and click to select.
    • Clicking the Cog icon next to the Location field will open a pop-up window that can be used to add a new location or choose from existing locations. Add Location
  10. Click Save.
  11. Click Print Tag. This option will be available after save. Print Tags
  12. Apply tag to item. Tip: use a scanner to check the tag reads correctly.

Note: If the Location is linked to a User and/or Department in the database, those values will populate automatically.

Add Inventory-Copy Last Data

If multiple like items with different locations or user details are being added, the Copy Last Data function may be used.

  1. Log in with a user name and password that has been granted access to Add Inventory.
  2. Choose the appropriate Module.
  3. Click Add from the menu on the left side of the home screen.
  4. Search for the correct product using the Search function. If the search returns the correct product, complete steps five through fourteen. If the correct product is not available, it must be added to the catalog before proceeding. Catalog Add
  5. Choose the correct vendor and size from the pop-up window by clicking the Green Check Mark .  The Item Add screen will open. If desired, the catalog entry may be modified prior to proceeding. Catalog Edit
  6. Enter a Chem Tag #.  The tag number may be typed manually or if auto-generate is enabled the number will display when the Chem Tag # button is clicked.
  7. Choose Location.
  8. Click Save.
  9. Click Print Tag. This option will become available after save. Print Tags
  10. Before leaving the Item Add screen, click Copy Last Data. The message Last data copied populates under the Item Add screen.
  11. Update fields to be modified, including a new tag number.
  12. Click Save.
  13. Click Print Tag. This option will be available after save. Print Tags
  14. Apply the tags to items. Tip: use a scanner to check the tags read correctly.

Add Inventory-Add Many, Pre-Printed Tags

If multiple identical items with the same location and user data are being added, the Add Many function may be used.

  1. Log in with a user name and password that has been granted access to Add Inventory.
  2. Choose the appropriate Module.
  3. Click Add from the menu on the left side of the home screen.
  4. Search for the correct product using the Search function. If the search returns the correct product, complete steps five through fourteen. If the correct product is not available, it must be added to the catalog before proceeding. Catalog Add
  5. Choose the correct vendor and size from the pop-up window by clicking the Green Check Mark .  The Item Add screen will open. If desired, the catalog entry may be modified prior to proceeding. Catalog Edit
  6. Enter a Chem Tag #
  7. Enter the Number of items to add.
  8. Choose Location.
  9. Click Save.
  10. Tag numbers may be edited and/or lot numbers added in the pop-up window. Once edits are complete, click OK.
  11. Apply the tags to items. Tip: use a scanner to check the tags read correctly.

Note: tag numbers must be edited if using pre-printed tags. Reserve tags do not auto-populate.

Add Inventory-Add Many, Auto-Generated Tags

If multiple identical items with the same location and user data are being added, the Add Many function may be used.

  1. Log in with a user name and password that has been granted access to Add Inventory.
  2. Choose the appropriate Module.
  3. Click Add from the menu on the left side of the home screen.
  4. Search for the correct product using the Search function. If the search returns the correct product, complete steps five through fourteen. If the correct product is not available, it must be added to the catalog before proceeding. Catalog Add
  5. Choose the correct vendor and size from the pop-up window by clicking the Green Check Mark .  The Item Add screen will open. If desired, the catalog entry may be modified prior to proceeding. Catalog Edit
  6. Click the Chem Tag # button to generate a tag number.
  7. Enter the Number of items to add.
  8. Choose Location.
  9. Click Save.
  10. Tag numbers may be edited and/or lot numbers added in the pop-up window. Once edits are complete, click OK.
  11. Click the box labeled Print All Tags. This option will be available after save. Print Tags
  12. Apply the tags to items. Tip: use a scanner to check the tags read correctly.

Carry Over

Key values in the inventory record may be retained as a different chemical is added to the inventory.  Currently, only Location, Current User and Department values are carried over.

  1. Log in with a user name and password that has been granted access to Add Inventory.
  2. Choose the appropriate Module.
  3. Click Add from the menu on the left side of the home screen.
  4. Search for the correct product using the Search function. If the search returns the correct product, complete steps five through nine. If the correct product is not available, it must be added to the catalog before proceeding. Catalog Add
  5. Choose the correct vendor and size from the pop-up window by clicking the Green Check Mark .  The Item Add screen will open. If desired, the catalog entry may be modified prior to proceeding. Catalog Edit
  6. Enter Chem Tag #.  The tag number may be typed manually or if auto-generate is enabled the number will populate when the Chem Tag # button is clicked.
  7. Choose Location.
  8. Click Save.
  9. Click Print Tag. This option will be available after save. Print Tags
  10. Before leaving Item Add screen, click Clear in the search area at the top of the screen.
  11. Search for the correct product using the Search function. If the search returns the correct product, complete steps twelve through sixteen. If the correct product is not available, it must be added to the catalog before proceeding. Catalog Add
  12. Choose the correct vendor and size from the pop-up window by clicking the Green Check Mark.  The previous tag number will be cleared, leaving the carry over data in place. The item being added will change to the new value. If desired, the catalog entry may be modified prior to proceeding. Catalog Edit
  13. Enter a Chem Tag #.  The tag number may be typed manually or if auto-generate is enabled the number will populate when the Chem Tag # button is clicked.
  14. Click Save.
  15. Click Print Tag. This option will be available after save. Print Tags
  16. Repeat steps 10-15 as needed before leaving the item add screen.
  17. Apply tags to the items. Tip: use a scanner to check the tags read correctly.

Link-Split Containers-Dispensing

Containers may be linked with a parent/child relationship using the Dispensing function. The link can be used for searching or historical purposes.

  1. Log in with a user name and password that has been granted access to Add Inventory.
  2. Choose the appropriate Module.
  3. Click Add from the menu on the left side of the home screen.
  4. Enter the parent tag number in the Dispensing box at the top left of the search area.  The Dispensing function, if missing, can be enabled from the settings menu. ChIM Access
  5. Once the parent tag number has been entered, all search parameters are disable except Amount and Unit of Measure.  Amount and UOM are optional search parameters, not required.
  6. Click Search.
  7. Choose the correct vendor and size from the pop-up window by clicking the Green Check Mark
  8. Enter a Chem Tag #.  The tag number may be typed manually or if auto-generate is enabled the number will populate when the Chem Tag # button is clicked.
  9. Choose Location.
  10. If the child container will be filled repeatedly, click the Refillable option. (link to consumption/refill)
  11. Click Save. The Parent container amount will be reduced by the amount dispensed.
  12. Click Print Tag. This option will be available after save. Print Tags
  13. Apply tag to the item. Tip: use a scanner to check the tag reads correctly.

Delete Item

If a new record is added and saved in error, it may be deleted from the system without being recorded in the inventory tables.  The Delete function may only be used from the Item Add screen while the record is still in focus in the Item Add window.  If the error is discovered at a later time, use the View/Update-Dispose function and choose the disposal method as Entry Error. Item Notes

A text field is provided to allow custom notes to be added to each inventory item. This information is optional.

  1. Log in with a user name and password that has been granted access to Add Inventory.
  2. Choose the appropriate Module.
  3. Click Add from the menu on the left side of the home screen.
  4. Search for the correct product using the Search function. If the search returns the correct product, complete steps five through nine. If the correct product is not available, it must be added to the catalog before proceeding. Catalog Add
  5. Choose the correct vendor and size from the pop-up window by clicking the Green Check Mark .  The Item Add screen will open. If desired, the catalog entry may be modified prior to proceeding. Catalog Edit
  6. Enter Chem Tag #.  The tag number may be typed manually or if auto-generate is enabled the number will display when the Chem Tag # button is clicked.
  7. Choose Location.
  8. Prior to saving, click the Notes tab.
  9. Enter desired text in the Notes Field.
  10. If this is the final data to be entered, click Save. The note text will be retained during navigation between tabs.

Note: Item notes may be added or edited from the View/Update screen.

Dynamic Fields

Dynamic Fields are searchable values that have been added to the database. Dynamic Fields

  1. Log in with a user name and password that has been granted access to Add Inventory.
  2. Choose the appropriate Module.
  3. Click Add from the menu on the left side of the home screen.
  4. Search for the correct product using the Search function. If the search returns the correct product, complete steps five through nine. If the correct product is not available, it must be added to the catalog before proceeding. Catalog Add
  5. Choose the correct vendor and size from the pop-up window by clicking the Green Check Mark .  The Item Add screen will open. If desired, the catalog entry may be modified prior to proceeding. Catalog Edit
  6. Enter Chem Tag #.  The tag number may be typed manually or if auto-generate is enabled the number will display when the Chem Tag # button is clicked.
  7. Choose Location.
  8. Prior to saving, click the Dynamic Fields tab.
  9. Enter the requested information.
  10. If this is the final data to be entered, click Save. The dynamic field information will be retained during navigation between tabs.

Note: Dynamic Field data may be added or edited from the View/Update screen.
