Difference Between Add Many, Quantity, and Amount
When adding new inventory records, there are several instances where decisions must be made to determine the correct field values to enter. Understanding how field values correspond to the physical world is invaluable to the decision making process. This article will provide information regarding three fields: Add Many, Quantity, and Amount.
Add Many (see callout 1, figure 1)
- This field is used to add several records to the inventory without the need to enter item information multiple times.
- Each item will be tagged individually.
Quantity (see callout 2, figure 1)
- This field is used to designate several discrete items inventoried utilizing one inventory record and one tag number.
- When the quantity is greater than one (1), the items will NOT be tagged individually.
- Single tag numbers cannot be separated to different locations.
- The default value is one (1).
Amount (see callout 3, figure 1)
- This field represents the amount of product contained within each item, and the unit of measure.
- The values will auto-populate from the catalog record.

Use Case I
A case of six bottles of hydrochloric acid is purchased.
- The case will not be tracked as a unit.
- The bottles will be be tracked individually, therefore each bottle will require its own inventory tag.
- Each bottle contains 500mL of product.
In this example, to add the six bottles of hydrochloric acid to the inventory:
- The value six (6) is entered into the Add item(s) field. Six individual tags will be generated for the items.
- The value one (1) is entered into the Quantity field. This insures each bottle is tagged.
- The value 500 is entered into the Amount field. The unit of measure is mL
Note: If there is an existing catalog record, the default Quantity (1), Amount field, and Unit of Measure will auto-populate from the catalog record. Add Inventory-Catalog Search

Reminder: If there is not an existing catalog record for the product, the catalog record must be created prior to adding the item to the inventory. Catalog Add
Use Case II
A pack single use ampoules of dimethyl sulfoxide-D6 is purchased.
- The pack will be tracked as a unit.
- The ampoules will not require individual inventory tags.
- The pack will not be disposed of until all ten ampoules have been consumed. Consumption/Refill
- The pack contains ten (10) ampoules.
In this example, to add the pack of dimethyl sulfoxide-D6 ampoules to the inventory:
- The Add item(s) should contain the value one (1). This insures only one tag will be generated for the pack of ampoules.
- The value ten (10) is entered into the Quantity field. This insures all ten ampoules are accounted for under the inventory record.
- The value one (1) is entered into the Amount field. The unit of measure is AMP.
