Manage Account Numbers
Inventoried items may have a specific account number associated with the item within the system. Inventory may be searched by Account Number via the Query Tool on the View/Update Screen.
Account numbers may be added, and deleted from Settings page via the Systems Tables tab. Manage System Tables
Create Account Number-Item Add
Account numbers may be created while adding items to the inventory.
- Log in with a user name and password that has been granted access to Add Inventory, Modify System Settings and Create Accounts.
- Chose the appropriate Module.
- Click Add on the menu on the left side of the home screen.
- Search for and choose the item to be added to the inventory, enter tag number, location,current user and department. Add Inventory
- If the appropriate Account Number is not available within the dropdown menu, click the plus sign
next to the account number field.
- Enter the account number. Additional optional information may also be entered, e.g. Description, Expiration Date and Exempt status.
- Click Create Account Number. The number will populate in the account number field.


Manage Account Numbers-Accounts Page
Account numbers may be viewed, added, edited, activated, and inactivated from the Accounts page. The account number template (mask) may be defined and managed from the Accounts page as well. Account numbers may be filtered by expiration date range for ease of viewing.
Create New Account Number
- Log in with a user name and password that has been granted access to Modify System Settings and Create Accounts.
- Chose the appropriate Module.
- Click Accounts on the menu on the left side of the module screen.
- Click the Active tab.
- Click Create New.
- Enter the account number. Additional optional information may also be entered, e.g. Description, Expiration Date and Exempt status.
- Click Create Account. The new account number will populate in the list of available accounts.



Edit Account Number
- Log in with a user name and password that has been granted access to Modify System Settings and Create Accounts.
- Chose the appropriate Module.
- Click Accounts on the menu on the left side of the module screen.
- Click the Active tab.
- Click Edit next to the account number to modify.
- Modify the account information.
- Click Update Account.


Create Account Number-Copy as New
- Log in with a user name and password that has been granted access to Modify System Settings and Create Accounts.
- Chose the appropriate Module.
- Click Accounts on the menu on the left side of the module screen.
- Click the Active tab.
- Click Copy as New next to the account number to copy.
- Modify the account data to reflect the new account information.
- Click Create Account.


Deactivate Account
- Log in with a user name and password that has been granted access to Modify System Settings and Create Accounts.
- Chose the appropriate Module.
- Click Accounts on the menu on the left side of the module screen.
- Click the Active tab.
- To deactivate a single account, click Deactivate next to the account number.
- To deactivate multiple accounts, Select the accounts and click Deactivate Selected.
- Click OK in the pop-up window.
Note: Inactive accounts may be viewed, copied as new and reactivated from the Inactive tab of the accounts page.



Reactivate Account
- Log in with a user name and password that has been granted access to Modify System Settings and Create Accounts.
- Chose the appropriate Module.
- Click Accounts on the menu on the left side of the module screen.
- Click the Inactive tab.
- To reactivate a single account, click Reactivate next to the account number
- To Reactivate multiple accounts, Select the accounts and click Reactivate Selected.
- Click OK in the pop-up window. The reactivated accounts will populate in the Active tab.
Note: The expiration date for the reactivated account must be re-entered. The account number will be expired on the date it was deactivated.


Modify Account Number Template (mask)
To facilitate ease of entry and consistency of data, an account number template may be defined within the system.
Enable Mask
- Log in with a user name and password that has been granted access to Modify System Settings and Create Accounts.
- Chose the appropriate Module.
- Click Accounts on the menu on the left side of the module screen.
- Click the Mask Setup tab.
- Enter the account number template following the listed rules.
- Check the box next to Enable Mask.
- Click Save.
- Click OK in the pop-up window.

Disable Mask
- Log in with a user name and password that has been granted access to Modify System Settings and Create Accounts.
- Chose the appropriate Module.
- Click Accounts on the menu on the left side of the module screen.
- Click the Mask Setup tab.
- Uncheck the box next to Enable Mask.
- Click Save.
- Click OK in the pop-up window.
