Receive/Close Requisitions

Once requisition items arrive, the items may be received within the requisitioning module in part or in total. The items can be quickly added to the inventory and the requisition then closed.

Receive Requisition Items and Add to Inventory

When using the requisitioning module to add items to inventory, only fields for required values will be available. In this example, only location, PI, and acquisition date are set as required values. If an expected field is absent, review required values and make any necessary updates prior to receiving items. Custom Labels

  1. Log in with a username and password that has been granted access to the Requisitioning Module.
  2. Choose the appropriate Module.
  3. Click Requests(X) on the left side of the screen. The Search Requests page will open.
    • If the user has the Requisitioning Manage Requests right granted, the number (X) will represent all open requests.
    • If the user has the Requisitioning Module right granted, the number (X) will represent only the user’s open requests.
  4. Search for the request to receive. View/Search Requisitions
  5. Click the Receive button to open the requisition.
  1. Enter the number of items to receive.
    • The value defaults to all, but can be modified for partial receiving.
  2. Click Confirm QTY and Add to System.
  1. If all items will be placed in the same location, enter the location in the Default Location field or select using the location tree .
  2. Click the check box to Select All.
  3. Click Apply to selected items.
  4. Click Confirm Locations.
  1. If items will be placed in different locations, enter the respective locations in the Location fields or select using the location tree .
  2. Click Confirm Locations.
  1. If the same user will be responsible for all items, select the user in the Default PI field.
    • The field will auto-populate the information for the user who submitted the request.
    • If the responsible person (PI) is a different user, the field may be changed by selecting the appropriate user from the dropdown list.
  2. Enter the Acquisition Date or select by clicking the calendar icon .
    • The field will auto-populate the current date.
  3. Click the check box to Select All.
  4. Click Apply to selected items.
  5. Click Confirm Item Properties.
  1. If different users will be responsible for the items, select the appropriate user from the dropdown list for each item.
  2. Enter the Acquisition Date or select by clicking the calendar icon .
    • The field will auto-populate the current date.
  3. Click Confirm Item Properties.
  1. Review the item tag numbers.
    • Values will populate the next available barcode(s).
    • Values may be changed if pre-printed tags are used.
  2. To edit PI or location, click the Back button.
  3. Click Complete Receiving.
  1. OPTIONAL: To Print all barcodes, click the check box to Select All.
    • Click individual item check boxes to printed only selected barcodes.
  2. OPTIONAL: Click Print Barcodes. Print Tags
  3. Click Close.
  1. OPTIONAL: Click the check box to Select All to view all Received items in the View/Update screen.
    • To view individual items in View/Update, click the Chem Tag #.
  2. OPTIONAL: Click Open Items on View/Update. View/Update
  3. If all items have been received and any additional updates have been completed, click Close Request.
  4. Confirm close in the pop-up window.

Receive Requisition Items Without Adding to Inventory

Items may be received without adding to inventory. If this option is chosen, the items will need to be added to the system using the Add screen. Add Inventory

  1. Log in with a username and password that has been granted access to the Requisitioning Module.
  2. Choose the appropriate Module.
  3. Click Requests(X) on the left side of the screen. The Search Requests page will open.
    • If the user has the Requisitioning Manage Requests right granted, the number (X) will represent all open requests.
    • If the user has the Requisitioning Module right granted, the number (X) will represent only the user’s open requests.
  4. Search for the request to receive. View/Search Requisitions
  5. Click the Receive button to open the requisition.
  1. Enter the number of items to receive.
    • The value defaults to all, but can be modified for partial receiving.
  2. Click Confirm QTY and Add to System.
  1. Click Skip Adding to the System.
  2. Enter a comment (optional).
  3. Confirm choice to receive without adding to the system in the pop-up window.
  1. A warning message will be posted to the Received Items tab of the request.
  1. The confirmation comment will be added to the Comment tab of the request.
