Roles and Rights

The Roles and Rights function establishes control over user access and privilege. Rights allow access to specific areas of the database or permission to perform specific tasks. Rights can be specific to modules or shared across multiple modules. Roles are a collection of rights. Roles may be created/deleted as needed by an organization.

Create Role

  1. Log in with a user name and password that has been granted access to Modify System Settings.
  2. Choose the appropriate Module.
  3. Click Roles/Rights from the menu on the left side of the home screen.
  4. Click Add New Role.
  5. Enter the Role Name and Role Description.
  6. Click Save.
  1. Click the Select Icon in the first column next to the new role.
  2. Select Module for Rights from the dropdown menu.
  3. Click to highlight the desired right in the Available field.
    • Click here to access a list of currently available rights and their permissions.
  4. Click the right arrow to assign the right to role.
    • Data Saved message will confirm the right was added to role.
  5. Rights are saved to the role when transferred from Available to Assigned.

Note: Multiple rights can be selected using cntrl + left mouse click.

Edit Rights Assigned to Existing Role

  1. Log in with a user name and password that has been granted access to Modify System Settings.
  2. Choose the appropriate Module.
  3. Click Roles/Rights from the menu on the left side of the home screen.
  4. Click the Select Icon in the first column to access available rights.
  5. Select Module for Rights from the dropdown menu.
  6. Add rights by highlighting the right in the Available Rights list and clicking the right arrow .
  7. Remove rights by highlighting the right in the Assigned Rights list and clicking the left arrow .
  8. Rights are saved to the role when transferred from Available to Assigned.
    • Data Saved message will confirm the right was added to role.
  9. Rights are removed from the role when transferred from Assigned to Available.
    • Data Saved message will confirm the right was removed from the role.

Edit Role Name and/or Description

  1. Log in with a user name and password that has been granted access to Modify System Settings.
  2. Choose the appropriate Module.
  3. Click Roles/Rights from the menu on the left side of the home screen.
  4. Click the Pencil Icon in the second column.  The pencil will be replaced with the Save Icon and the Barred Circle .
  5. Make desired edits to Role Name and/or Role Description.
  6. Click the Save Icon to save changes.  The Pencil Icon will be restored and the confirmation message Data Saved will appear at the bottom of the screen.

Delete Role

  1. Log in with a user name and password that has been granted access to Modify System Settings.
  2. Choose the appropriate Module.
  3. Click Roles/Rights from the menu on the left side of the home screen.
  4. Click the X Icon in the third column.
  5. Confirm deletion in the pop-up window.
  6. Role will be removed and the confirmation message Data Saved will appear at the bottom of the screen.

Note: A Role may not be deleted if it is assigned to a user. The message Unable to delete the Role. This Role may be in use. will appear at the bottom of the screen. To delete Role, remove Role from all users and repeat steps 1-6 above.
