View/Update Search

The View/Update function is used to view inventory records, update single records, transfer, dispose or update one or more values in a selected batch of records. Retrieving the desired record(s) may be accomplished using the search, query, structure search or scan tag functions. To gain access to the view/update menu items, the user must be granted access to Update Inventory. The search results grid may be customized. Customize Results Grid

Search Tab

  1. Log in with a user name and password that has been granted access to Lookup Inventory.
  2. Choose the appropriate Module.
  3. Click View/Update from the menu on the left side of the home screen.
  4. Click the Search tab.
  5. Enter selection parameters.
    • Choosing a Department value will filter the list of available Current Users to the users in that department. Clear the department value to display all current users. 
    • Searching by Location with no other parameters selected will return all records within the selected location. Clicking the icon will open the location tree.
    • Searching by Location Type is dependent upon the information included when the location was added to the system.
    • Toggle the check mark next to Show Inactive to include locations that are assigned inactive status.
    • Toggle the check mark next to Include Sublocations to include sublocations in the search.
    • The Chemical Name parameter may be filtered by Is, Contains, Starts With or Ends With.  The default value is contains.  When using the chemical name parameter, you may search by Catalog entry or Synonym.  Synonym values within the catalog records may not be complete.
    • Searching by CAS number will return all records that share the value.
    • Selecting a Date Type will return items matching the specific date type. Available date types are:
      • Expiration Date: user added value.
      • Inventory Date: date items was added to the inventory.
      • Missing Date: date assigned by the system during a physical inventory process in which the item was not found.
      • Receive Date: user added value.
    • Date Search Options expand the versatility of the date type search by offering several ways to filter results, including but not limited to: date range, specific date, has value, does not have value. Current and and look-back time criteria, e.g., this week or last week are also available.
    • Pickup Requested is a search criteria specific to the Waste Module which permits searching items based on if a pickup request has been submitted.
      • All: returns all items regardless of pickup request status.
      • Yes: returns items associated with a pickup request.
      • No: returns items with no associated pickup request.
  6. Click Search. Records matching the search criteria will populate in the results grid below the search tab.
  7. Click Clear Results to clear all records from the results grid.

Query Tool Tab

  1. Log in with a user name and password that has been granted access to Lookup Inventory.
  2. Choose the appropriate Module.
  3. Click View/Update from the menu on the left side of the home screen.
  4. Click the Query Tool tab.
  5. Select the desired Field, Condition and Value parameters.
  6. Click Add.  Multiple parameters can be defined and added to the search criteria.
  1. Individual parameters may be modified by selecting new Conditions and/or Values for a Field followed by clicking the blue Select text then clicking Update.
  2. Individual parameters may be deleted by clicking the blue Select text in the first column followed by clicking Delete.
  3. Clicking Clear deletes all defined criteria.
  4. Once all search parameters have been defined, click Search. Matching records will populate in the Search tab.

Structure Search Tab

  1. Log in with a user name and password that has been granted access to Lookup Inventory.
  2. Choose the appropriate Module.
  3. Click View/Update from the menu on the left side of the home screen.
  4. Click the Structure Search tab.
  1. Structures or substructures may be loaded from files or drawn using the Ketcher software. 
  2. Ketcher settings are accessed by clicking the Cog button .
  3. Help files are accessed by clicking the Question Mark button . 
  4. Additional search criteria can be utilized by designating Location and/or Current User.
    • Choose a Location from the drop down menu or click the icon to access the location tree.
    • Choose a Current User from the drop down menu or click the icon to select the currently logged-in user.
  5. To search for the Exact structure or Substructure click the corresponding check box.
  6. Click Search. Matching records will populate in the Search tab.

Scan Tag-Single Barcode

Use the scan tag function to view a group of records that may not share a common value that can be used in the search or query tools.

  1. Log in with a user name and password that has been granted access to Lookup Inventory.
  2. Choose the appropriate Module.
  3. Click View/Update from the menu on the left side of the home screen.
  4. Enter or scan a Barcode in the Scan Tag section of the search tab.
    • The default value is to search individual tag numbers.
  5. Click Search Barcode or the Enter key.
  6. The record will show in the results grid below the Search tab.
  7. Repeat the tag search with each barcode until all desired records are displayed.
  8. Click Clear Results to clear the records from the results grid.

Scan Tag-Barcode Range

Use the scan tag function to view a group of records that are within a specific range of barcode numbers.

  1. Log in with a user name and password that has been granted access to Lookup Inventory.
  2. Choose the appropriate Module.
  3. Click View/Update from the menu on the left side of the home screen.
  4. Select By Range.
  5. Enter the first barcode number in the Barcode Start field.
  6. Enter the last barcode number in the Barcode End field.
  7. Click Search Barcode Range.
  8. The records will show in the results grid below the Search tab.
  9. Click Clear Results to clear the records from the results grid.
