View/Update-Transfer
The transfer function is used to record the movement of items from one location, and/or department to another location, and/or department. The function can be used to transfer ownership of an item to a new user. The function can also be utilized to lend items while retaining the original owner as well as specifying a return-by date.
Transfer User
To record the transfer of ownership of an item, the new user must be defined within the system. The location and department may be updated when the new user is assigned.
- Log in with a user name and password that has been granted access to Transfer Inventory.
- Choose the appropriate Module.
- Click View/Update from the menu on the left side of the home screen.
- Search for the item(s). View/Update Search

- Select one or more records displayed in the Search Results grid by clicking the Select Field.
- The Select all on page field selects all records visible in the search results grid.
- Note: if the search results span multiple pages, each page must be processed independently.
- Click Transfer to open the Transfer Inventory page.

- Enter the new User, Location, and Department.
- Click Complete Transfer.

- A confirmation message will populate under the search results grid and the new user, location and/or department will be updated within the grid.

Transfer-Lending Items
The transfer function may be utilized to lend items. A return-by date may be specified by adding a Reserve Until date. This function maintains the original owner’s identity within the system utilizing the Alternate User field. The labels for the Reserve Until, Alternate User, Current User, and Department are customizable and may be edited using the Custom Labels function.
- Log in with a user name and password that has been granted access to Transfer Inventory.
- Choose the appropriate Module.
- Click View/Update from the menu on the left side of the home screen.
- Search for the item(s). View/Update Search

- Select one or more records displayed in the Search Results grid by clicking the Select Field.
- The Select all on page field selects all records visible in the search results grid.
- Note: if the search results span multiple pages, each page must be processed independently.
- Click Transfer to open the Transfer Inventory page.

- Enter a Reserve Until date to specify the return-by value.
- Enter the new Location, User and Department. These values should match the user, location and department of the person borrowing the item.
- Enter the original owners name in the Alternate User field. This is the person lending the item.
- Click Complete Transfer.

- A confirmation message will populate under the search results grid and the new current user, alternate user, reserve until date, location and/or department will be updated within the grid.

Note: the results grid may be customized to show Alternate User and Reserve Until date using the Customize Results Grid function.
Transfer-Return Items
- Log in with a user name and password that has been granted access to Transfer Inventory.
- Choose the appropriate Module.
- Click View/Update from the menu on the left side of the home screen.
- Click the Query Tool tab. Query Tool
- Select Alternate User as the Field parameter.
- Select the owner that lent the item as the Value parameter.
- Click Add to add the condition to the query.
- Click Search.

- Matching records will populate in the Search tab results grid.
- Select the item(s) that have been returned.
- Click Transfer.

- Select the Remove Alternate User. The field will no longer be visible.
- Enter the Location, Current User, and Department corresponding to the original owner.
- Click Complete Transfer.
